1. Apostrophes allowed in e-mail addresses
Apostrophes are now accepted as a “legal” character in e-mail addresses. Wherever e-mail addresses can be entered in QuestionPoint, apostrophes can be part of the address. An example is o’[email protected]
2. Store up to 50 e-mail partner addresses
The old limit of 25 e-mail addresses has now been doubled, so you can enter up to 50 e-mail addresses for colleagues and others to whom you anticipate referring questions. See Ask >> Settings >> My Addresses.
3. Librarian notified if patron closes question
Instead of a mysteriously disappearing question, the librarian or library will now be notified via e-mail when a patron closes an open question through the patron interface.
4. File attachments increased to 10 MB
Each attachment to answers can now be as large as 5 MB, increasing the total from 4 to 10 MB per answer. As always, librarians can send multiple answers if they wish to send material that exceeds the limit. We will monitor this new limit and determine if and when we might increase the limit even more.
5. Session types differentiated
In the Closed folder, session types are differentiated by color, so librarians can quickly scan to find e-mail only questions, or text messages only, or chat only. E-mail transactions remain blue on a light gray background, but chat sessions, including Qwidget sessions, are blue on a white background, and text messages are blue on a salmon background.
Below is an illustration of what this now looks like. The first and eleventh transactions are e-mail; the second through sixth are all text messages. And the remainder in the illustration are chat sessions.
6. Patron’s library always displays in Full Question view
The name of the patron’s institution will appear in the Full Question view for every question/session in your question lists. Below, we illustrate what that will now look like. Regardless who answered the question or chatted with the patron, you’ll always know at what library the patron was inquiring.
7. ‘TO:’ address makes more sense for Patron
Before this install, patrons who replied to an e-mailed answer or transcript, would see the curious “QuestionPoint Patron” in the TO line of the e-mail. That has been changed now to “Askalibrarian,” to make a little more sense.
8. Policy Page e-mail contact field improved
The Policy Page e-mail contact field and its corresponding e-mail notification message have been improved to more clearly explain its use and routing information.
1. In the Policy Page area (Profile module) where the data for your page is entered, there is a more complete explanation of how to correctly enter the e-mail address.
2. When the contact field is used by a librarian to communicate with the Policy Page contact person, the form clearly indicates who is sending the message. This way, the contact can continue to communicate directly with the sender, via e-mail, if need be.
9. Survey results notification shows institution name
Administrators who have responsibility for several different institutions (or SUPs) will find it much easier now to determine what institution a patron is responding to when they return a survey form.
10. Clarification on update notifications
We have found that some librarians are simply replying, within their e-mail service, to notifications that a question has been updated, rather than logging into QuestionPoint and answering from there. Unfortunately, these e-mails are not delivered where intended and the librarian often does not realize that. Furthermore, of course, the question history is not updated within QuestionPoint.
To avoid this situation, we have added the following automated text to e-mail notification updates:
************************************************************
DO NOT USE EMAIL REPLY
***********************************************************
11. Transcript Review label option changes
We have adjusted the text on some of the labels in the Review Transcripts area (Ask >> Review Transcripts >> General) so that it is not mistaken or misunderstood. You may notice slightly changed wording for the highlighted labels in the illustration.
12. Explanatory text added to password administration
Institution administrators may notice an improvement on the password administration page, where passwords can be reset or e-mailed to librarians. Some clarifying text has been added to help identify which of the several buttons to use for which operation! We hope this will make this much easier to use with accuracy.
